Automating an Invoicing & A/R Process

The Challenge
A growing talent management firm was facing cash flow pressure, not due to weak sales, but because of delayed billing and inconsistent collections. Invoices were issued manually in Word and tracked in Excel, leading to lags, errors, and no centralized view of what was outstanding.
With a high volume of business deals, client billing frequently fell through the cracks. The result: working capital strain, lost revenue opportunities, and tension between finance and client-facing teams.
Our Approach
We were engaged to overhaul the end-to-end invoicing and receivables process. We began by mapping current workflows and identifying pain points.
We then designed and implemented an automated invoicing system integrated with the company’s existing customer relationship management software. This ensured that as milestones were met, corresponding invoices were generated and sent automatically.
To support timely collections, we introduced a dashboard with aging visibility, automated reminders, and escalation rules, allowing leadership to monitor receivables in real time and assign follow-ups strategically.
We also trained the team on process best practices and worked with their bookkeeper to ensure that accounting records aligned with the new system.
The Impact
The company cut its invoicing lag and improved DSO (days sales outstanding) by over two weeks. Leadership gained visibility into real-time collections, while client teams could focus on delivery rather than chasing payments.
Most importantly, the business stabilized its working capital position and entered its next growth phase with a finance process built to scale.
